This policy explains how Teadmine ja Tarkus OÜ, operating as Tallinn Language Centre / International
House Tallinn, handles personal data submitted through our website. Most submissions are made by
people taking our written English placement test and asking to receive their result by email. It also
covers course enquiries and newsletter subscriptions.

What we collect and why

For the written placement test, we collect your first name, surname, email address and test answers,
and generate an automatically calculated score and indicative language level. Other website forms
collect only your first name, surname and email address.
Written placement test. For the written placement test, we collect your first name, surname, email
address and test answers. We use the information to score the test, assess your approximate level,
arrange an optional speaking assessment and recommend a suitable course. Your score, together with
an indicative language level, is sent automatically to your email address; the same result is sent to the
school’s mailbox. This processing is necessary to take steps at your request before possible enrolment or
to provide the requested service (GDPR Article 6(1)(b)). Without the required answers and contact
details, we cannot produce and email a personalised result.
Automated test scoring. The written test is scored automatically. It gives an approximate assessment of
grammar and vocabulary and has no legal or similarly significant effect. A final course recommendation
may also use a speaking assessment and a teacher's professional judgement. No enrolment or final
course-placement decision is made solely on the automated score.
Newsletter. For the newsletter, we collect your first name, surname and email address. We send
newsletters about our English-language courses. If you are under 13, a parent or guardian must give or
authorise newsletter consent on your behalf.
Other enquiries and course registration. Other website forms collect only your first name, surname and
email address. We use your contact details to reply, provide course information, arrange testing and
process registrations. The legal basis is taking steps at your request before entering into a contract and
performing a contract (GDPR Article 6(1)(b)).
Legal requirements. We may use or retain necessary details to meet accounting duties or respond to a
lawful authority request. The legal basis is compliance with a legal obligation (GDPR Article 6(1)(c)).

Providing your contact details is voluntary, but without your email address we cannot send you the test
result or reply to your enquiry.

How long we keep your data

We keep personal data only for as long as needed for the purposes below, applicable legal duties and
legal claims.
Test records. We may keep the test record to compare later test results, follow changes in language
level and support a future course recommendation if you return. The legal basis is our legitimate
interest in providing consistent placement advice (GDPR Article 6(1)(f)), balanced against your rights.
You may object and ask for deletion unless another lawful reason requires us to keep the record.
Records may be stored in the WordPress database, the school mailbox and school-controlled Excel files.
Retention is reviewed periodically, and records are deleted or anonymised when no longer needed.
Newsletter list. Your first name, surname, and email address are kept until you unsubscribe or withdraw
consent by using the unsubscribe link in each message or by contacting us; this does not affect
processing carried out before withdrawal. Data may be kept longer where required by law or for a legal
claim.
Compiling and analyzing statistics for website improvement. The placement-test form requests only
the personal data described above. Any separate cookie or website-analytics processing takes place only
when actually implemented, lawfully permitted and described in our Cookie Policy.

 

Who may receive your data

Access to website-form and placement-test data is limited to the school director and website
administrator. A teacher receives only the information needed for an optional speaking assessment or
course recommendation. Elkdata OÜ (Veebimajutus.ee; registry code 10510593) provides website and
email hosting and may process data on our behalf. Providers must act only for agreed purposes under
appropriate data-protection terms. We may disclose data where required by law. We do not sell or rent
personal data.

Disclosure practices

We disclose personal information if we are required by law or by a court order, in response to a law
enforcement agency, to the extent permitted under other provisions of law, to provide information, or
for an investigation on a matter related to public safety.

External websites linked from our site are responsible for their own privacy practices.

Your rights

Depending on the circumstances, you may ask to access, correct, delete or restrict your data, or object
to processing. You may withdraw consent at any time without affecting earlier lawful processing. Legal
exceptions may apply.
To exercise a right, email kool@tallinnlc.ee. We may verify your identity. We normally respond to
requests within one month. You may also complain to the Estonian Data Protection Inspectorate
(Andmekaitse Inspektsioon).

Security

We are committed to the security of personal data. We take appropriate security measures to limit
abuse of and unauthorised access to personal data. This ensures that only the necessary persons have
access to your data, that access to the data is protected, and that our security measures are regularly
reviewed.
